Collection, consent and communication
We collect the information needed to advise you and to place and service the products you buy, directly from you, and we may receive information from insurers, from a managing general agency processing applications, and from medical professionals with your written consent. Before or at the time collection begins, you receive a written notice of the purposes, your rights, the third parties concerned, and the possibility that information may be handled outside Quebec, and we ask for your consent in a form you sign, including express consent for health information. We do not sell or rent personal information. Disclosures without consent are limited to those the law requires. Before entrusting personal information to a supplier outside Quebec, we assess whether it would receive adequate protection there, as the Act requires.
Health information is not kept in our files
Medical questionnaires, paramedical results and other evidence of insurability are sent to the insurer and are not kept in our files. The insurer keeps its own copy under its own privacy policy.
How long we keep your information and how we destroy it
We keep your file as a whole while any policy or service relationship is in force, and for at least five years afterward, running from the latest of your last transaction with us, the expiry of the last product without renewal or replacement, and the end of our relationship, the period set by Quebec regulation. At the end of that period the entire file is destroyed: paper is shredded, electronic records are deleted, and storage devices are physically destroyed before disposal.
Who inside the firm handles your information
Anton Ivanov, as advisor and person in charge, collects your information, obtains your consent, maintains your file, decides on any communication to third parties, carries out destruction, and answers requests and complaints about personal information. Our administrative assistant handles client documents and correspondence as part of her administrative work, has signed a confidentiality undertaking with the firm, and has no advisory role. No one else has access to our records.
How we protect your information
We protect personal information with physical, organizational and technological measures proportionate to its sensitivity. If a confidentiality incident presents a risk of serious injury, we notify the Commission d'accès à l'information and the people concerned without delay, and every incident is recorded in a register as the law requires.
